Who we are
That Day delivers fitness and wellbeing programmes on behalf of corporate clients across the UK.
This Privacy Policy explains how we collect, use and protect your personal information when you register to take part in one of our programmes.
For the purposes of UK data protection legislation, That Day is the Data Controller for the personal information collected in connection with the administration of our fitness programmes.
What information we collect
When you register for one of our programmes, we may collect:
- First name and surname
- Email address
- Telephone number
- Booking information
- Class attendance records
Prior to attending your first class, we also collect:
- Your name
- Email address
- Electronic signature
- Date of signature
- Your signed acceptance of our Physical Activity Readiness Questionnaire (PAR-Q) declaration and Liability Waiver
How we use your information
We use your personal information to:
- Register you for fitness classes
- Manage class bookings
- Send booking confirmations and reminders
- Notify you of changes or cancellations
- Record attendance
- Maintain signed liability waivers
- Meet our insurance and legal obligations
- Evaluate and improve our programmes, including occasionally inviting participants to complete a feedback survey
We do not use your information to send marketing communications.
Our booking and waiver providers
To help administer our programmes, we use trusted third-party providers:
Instabook
- Manages class bookings
- Stores booking information
- Sends automated booking confirmations and reminder emails on our behalf
Jotform
- Collects and securely stores signed liability waivers
These providers process your information on our behalf in accordance with applicable data protection laws.
Sharing your information
Your personal information is only shared where necessary.
Authorised members of the That Day team have access to booking information and signed waivers in order to administer the programme.
Fitness instructors receive attendance information required to safely deliver each class.
Where programmes are delivered on behalf of a client we may share:
- Participant name
- Class attended
- Attendance status
This information is used solely for programme reporting and evaluation.
We do not share your:
- Email address
- Telephone number
- Signed waiver
- Signature
with our clients.
How long we keep your information
We retain personal information only for as long as necessary.

Signed liability waivers - Up to 6 years, or as long as you work at the client site
Where required by law or our insurers, we may retain information for a longer period.
